Give people access to a prefix

Attach people to a prefix with a role, change who has access, and remove access.

People can only see and use the services in prefixes attached to them, with the role you choose for that prefix. You manage this in Organization SettingsSuper PrefixesPrefix Users. The screen lists every link: Email, Prefix Super Id, Role and the prefix Name.

Before you start

The prefix must exist (Create a prefix) and the people must be in your organization (Add a user).

Attach people to a prefix

  1. Open Organization SettingsSuper PrefixesPrefix Users.
  2. Click Modify Prefix and Users Link.
  3. Pick the prefix in Select Prefix.
  4. Pick the role in Select Role. The people already attached with that role appear in the table below.
  5. Pick a person in Users (people are listed by email) and click Add. Repeat for everyone who needs this role.
  6. Click Modify.

You'll see "Successfully attached." and the list updates. The people you added can now pick the prefix on the service screens.

See Roles for what each role allows.

Give different roles in the same prefix

The window works on one prefix and one role at a time. To give Alex MANAGE and Sam READ in the same prefix, do it twice: once with MANAGE selected and Alex added, then again with READ selected and Sam added.

Remove someone's access

  1. Click Modify Prefix and Users Link.
  2. Pick the prefix and the role the person has in it.
  3. Click the red × next to the person.
  4. Click Modify.

You'll see "Successfully detached." The person no longer sees that prefix or its services.

Changing your mind

Close discards everything you changed in the window. Nothing is saved until you click Modify.

Troubleshooting

  • Users and Add are greyed out. Pick both a prefix and a role first.
  • "Please select a user." Pick someone in Users before clicking Add.
  • "Unable to attach." or "Unable to detach." Check that your role allows this change, then try again or ask an administrator.
  • Someone still sees the setup checklist. Check that their email appears on the Prefix Users screen. Each person needs at least one prefix of their own.
